The Process

Three Steps to Operating Smarter

Every engagement follows the same disciplined process. Nothing launches until you’ve seen it, tested it, and approved it.

01 We Listen

We Learn Your Organisation

It starts with a free 45-minute conversation. No agenda, no sales pitch. Just a focused session where we learn how your organisation actually operates — not how you think it operates, but how it actually runs day to day.

We ask about your team, your workflows, your pain points, and where you feel things are breaking down. We look for patterns you may have stopped noticing because they have been there so long. And we identify, specifically, where time and money are being lost and what the realistic opportunity is for recovering them.

By the end of the session, you will have a clearer picture of your own operation than you had before it started — regardless of whether you proceed with us.

Workflow mapping

Every key process in your operation documented — how it currently works, who’s involved, how long it takes.

Pain point identification

The specific tasks, bottlenecks, and gaps costing your organisation the most time and money — ranked by impact.

Opportunity assessment

A clear-eyed view of what automation and digitisation can realistically deliver for your specific operation.

Written proposal

Within 5 business days of the discovery session, a written proposal lands in your inbox — scope, timeline, investment. No pressure, no expiry.

What to expect

45 minutes on a call or in person. You talk, we listen. No preparation needed — just show up and tell us how things work.

02 We Build

We Design, Build,
and Test Everything

Once you have approved the proposal, we get to work. You don’t need to manage this. You don’t need to be involved in the technical detail. Your job at this stage is to be available for questions — and to review what we build before it goes live.

We design the systems around how your organisation actually operates. Not a generic template. Not a tool that requires you to change how you work to fit it. Infrastructure built specifically for your operation.

Everything is tested with real scenarios before it touches your live operation. When we say it’s ready, we mean it has been stress-tested, checked, and refined — not just built and handed over.

System design

Architecture designed around your specific workflows — nothing generic, nothing off the shelf that doesn’t fit.

Build phase

Systems built, configured, and integrated with your existing tools. You are updated throughout — no black box.

Real-scenario testing

Every workflow tested with actual data and real scenarios. Edge cases considered. Nothing left to chance on go-live day.

Your approval

You review everything before a single system goes live. Nothing launches without your sign-off. Full stop.

Your time commitment during the build

Minimal. A check-in call midway through and a review session before go-live. The rest is on us. Typical build phase: 2–4 weeks.

03 You Operate Smarter

Your Organisation Runs
The Way It Should

Go-live is not the end of the engagement — it is the beginning of the most valuable part. Your systems are live, your team is trained, and your organisation is already operating differently than it did before.

We stay on a monthly retainer. That means we are watching performance, catching anything that needs adjusting, building new automations as your organisation evolves, and making sure the systems we built keep delivering real value — not just on day one, but every month.

No lock-in contracts. The retainer continues as long as we are delivering measurable value. If we are not, you should not be paying for it. That accountability is how we stay sharp.

Team training

Every team member who interacts with the new systems is trained properly. Questions answered, comfort levels checked.

Go-live support

We are available during the first week of live operation to catch anything unexpected and resolve it immediately.

Monthly performance review

Every month, you receive a report on what the systems delivered — hours saved, processes run, improvements identified.

Continuous improvement

As your organisation grows and evolves, the systems evolve with it. New automations built, existing ones refined — ongoing, not one-and-done.

What ongoing retainer means practically

A monthly check-in, a performance report, and a standing brief to keep improving. A partner invested in your results — not a vendor who disappears after delivery.

Timeline

What the First 90 Days Look Like

From the moment you book your discovery session to an organisation running at full operational capacity.

Day 1

Discovery Session

45-minute conversation. We map your operation, identify pain points, and assess the opportunity. No preparation needed from your side.

Free · No commitment
Day 3–5

Proposal Delivered

Written proposal in your inbox — scope of work, timeline, investment, and expected outcomes. Specific to your organisation, not a template.

Week 2

Proposal Approved · Build Begins

You approve the proposal, we begin building. Systems designed around your specific workflows. You are updated throughout.

Weeks 3–4

Build & Test Phase

Systems built and stress-tested with real scenarios. Mid-point check-in with you to confirm direction and review progress.

Week 5

Your Review & Sign-Off

You review everything before it goes live. Adjustments made if needed. Nothing launches without your approval.

Week 6

Go Live

Systems go live. Team trained. We are on standby for the first week to catch anything unexpected and resolve it immediately.

First results visible within days
Month 2

First Monthly Retainer Review

Performance report delivered. What the systems achieved in month one — hours saved, processes automated, improvements identified for month two.

Month 3+

Continuous Improvement

New automations built, existing systems refined, capability expanding as your organisation grows. The longer the engagement, the more valuable the systems become.

Ongoing · No lock-in

What You Don’t Need

No Technical Knowledge.
No Disruption.

We hear these concerns often. Here is what you genuinely do not need to bring to this engagement.

Technical knowledge

You need to understand your organisation. We handle everything else end to end.

Existing digital infrastructure

Starting from paper and WhatsApp is fine. We build from wherever you are, not from where you should already be.

A large team

Solo operators and small teams often see the biggest gains — every hour recovered goes directly back to what matters.

Time to manage the project

We run the engagement. Your involvement is a discovery session, a mid-point check-in, and a sign-off review. That is it.

A locked-in contract

The retainer runs month to month. No 12-month commitments, no exit penalties. If we are not delivering value, you stop paying.

Prior experience with AI

Most of our best clients have never automated anything before. Fresh operations often yield the cleanest, most impactful results.

Questions

What People Ask
Before They Book

The questions we hear most often — answered plainly.

What happens if I don’t like the proposal?

Nothing. The discovery session is free and carries no obligation. If the proposal is not right — wrong scope, wrong timing, wrong fit — you say so and we part ways cleanly. No pressure, no follow-up calls.

Will this disrupt my operation while it is being built?

No. We build alongside your existing operation. Nothing changes in how you currently work until the new systems are fully built, tested, and approved by you.

What if my staff resist the new systems?

We plan for this. Adoption is part of the engagement — not an afterthought. We train every team member and stay close during the first weeks of live operation.

What tools and platforms do you use?

We are platform-agnostic. We recommend tools that fit your organisation, your budget, and your team’s comfort level. We do not lock you into proprietary platforms only we can manage.

What if something breaks after go-live?

That is what the retainer is for. Priority support is included. If something breaks, you reach us directly and we fix it. Response time commitments are agreed upfront.

Do I own the systems you build?

Yes. Everything we build belongs to you — the systems, the documentation, the configurations. We do not build black boxes. If you ever want to bring management in-house, we support that transition.

How do you measure success?

We define specific, measurable outcomes before the build begins — hours saved, error rates reduced, revenue recovered, response times improved. Monthly reports track those exact numbers. If the metrics are not moving, we know before you do.

Do you work remotely or on-site?

Both. The discovery session can happen remotely or in person — for Caribbean clients, in-person is often preferable and we accommodate that. The build phase is largely remote.

Ready to Take
the First Step?

The discovery session is free, takes 45 minutes, and gives you a clearer picture of your operation — regardless of what you decide afterwards.
